Collision Parts Tracker (“CPT”) is a business-to-business (B2B) software application operated by Crabtree Collision Center. CPT is designed for use by automotive dealership service and collision departments to track parts ordering, receiving, and status associated with collision repair workflows. It integrates with CCC ONE and related dealership management systems.
This Privacy Policy describes how Crabtree Collision Center handles information in connection with the CPT application. Because CPT is an operational workflow tool and does not collect, store, or process personal information about consumers or vehicle owners, this policy is primarily intended to document that position clearly and in good faith.
2. Information We Do Not Collect
CPT is not designed to collect personal information about consumers, customers, or vehicle owners. Specifically, CPT does not:
- Collect names, addresses, phone numbers, or email addresses of vehicle owners or repair customers
- Store payment card information, financial account numbers, or billing data
- Collect government-issued identification numbers (e.g., driver’s license, SSN)
- Track user behavior, browsing history, or location data
- Use cookies, web beacons, or third-party analytics trackers
- Sell, rent, or share any data with advertising networks or data brokers
3. Information That May Be Processed
3.1 Dealership Operational Data
CPT may process repair order numbers, parts numbers, vendor codes, and internal job identifiers as entered by dealership staff. This information is operational in nature and is not linked to identifiable individuals outside of the dealership’s own recordkeeping systems.
3.2 User Account Information
Dealership staff who access CPT may be assigned login credentials. This may include a username and a work email address provided by the dealership. This information is used solely for authentication and access control within the application and is not shared with third parties.
3.3 CCC ONE Integration Data
Where CPT integrates with CCC ONE or other third-party collision management platforms, data exchanged is limited to parts-related operational records as defined by those integration specifications. Crabtree Collision Center does not retain or independently store data pulled from CCC ONE beyond what is required for the function of the application.
4. How Information Is Used
Any operational data processed by CPT is used solely to:
- Facilitate parts tracking and workflow management within the dealership
- Enable authorized dealership staff to view and update repair order status
- Support integration functions with connected systems such as CCC ONE
- Maintain application security, logs, and audit trails for the dealership operator
5. Data Retention
Operational records within CPT are retained as configured by the dealership operator. Crabtree Collision Center does not impose independent retention schedules on dealership data. Dealership operators are responsible for managing retention in accordance with their own policies and applicable legal requirements.
6. Security
Crabtree Collision Center implements reasonable technical and administrative safeguards appropriate to the nature of the data processed by CPT. These include access controls, authentication requirements, and encrypted communications where applicable. Because CPT does not process sensitive personal information, no special-category data security programs are applicable.
7. Third-Party Services
CPT may interface with third-party platforms including CCC ONE. Crabtree Collision Center is not responsible for the privacy practices of those platforms. Dealerships should consult the applicable privacy policies and agreements for any third-party systems they use in conjunction with CPT.
8. Dealership Operator Responsibilities
CPT is made available to automotive dealerships as a business tool. The dealership operating CPT is the data controller for any dealership-level information entered into or accessed through the system. Dealerships are responsible for:
- Ensuring authorized use of CPT credentials by their staff
- Complying with applicable federal and state privacy laws (including GLBA, state consumer privacy laws, and FTC regulations where applicable)
- Not entering sensitive consumer personal information into CPT beyond what is required for parts workflow functions
9. Changes to This Policy
Crabtree Collision Center may update this Privacy Policy from time to time. Material changes will be communicated to active dealership operators via email or in-application notice. Continued use of CPT following notice of changes constitutes acceptance of the revised policy.
